Privacy Policy
This Privacy Policy describes how Exactix Corporation (“we,” “us,” or “our”) collects, uses, discloses, and safeguards personal information when you use the mobile application (the “App”) in connection with your employment. It also explains your choices and rights regarding your personal information. By using the App, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use the App. This policy applies only to information we collect in this App and does not apply to information collected by your employer through other means or to your employer's own privacy practices.
Information We Collect
We collect information that you provide directly, information collected automatically through your device, and interactions with the App. Information you provide may include account details such as your name, email address, date of birth, username, password, profile information, employment-related information (such as employee ID, job title, department, work location, and employment status), and any content you upload or submit through the App. If you contact us for support or feedback, we may collect the content of your communications and any related metadata.
We may automatically collect certain information about your device and usage of the App, including device identifiers such as your device model, operating system version, and unique device identifiers. We may also collect usage data such as app interactions, features used, screens viewed, referring and exit pages, crash logs, diagnostic data, performance data, and geolocation information.
How We Use Your Information
We use personal information to provide, operate, and maintain the App and its features, including creating and managing your account, authenticating your identity, and enabling core functionality. We analyze usage to monitor performance, fix bugs, improve stability, and develop new features. We may personalize your experience, content, and recommendations, and, where permitted, in-app messaging.
We may share personal information with service providers who perform services on our behalf, such as hosting, analytics, crash reporting, customer support, email delivery, and payment processing. These providers are authorized to use personal information only as necessary to provide services to us. We may also share personal information with your employer to the extent necessary to facilitate your employment relationship and the employer's use of the App. User-generated content may be visible to other users according to the App's functionality.
We may disclose information in connection with corporate transactions such as mergers, acquisitions, restructurings, or asset sales, subject to appropriate confidentiality protections and continued safeguards. We may share information to comply with legal obligations, lawful requests, and legal process; to protect the rights, property, or safety of users or others; to detect, prevent, or investigate fraud, abuse, or security incidents; to enforce our terms and policies; and for billing and collection. We do not sell personal information as that term is defined under certain privacy laws, and we do not share personal information for cross-context behavioral advertising without providing required notices and choices.
Data Retention
We retain personal information for as long as necessary to provide the App and fulfill the purposes described in this Privacy Policy, including to comply with our legal obligations, resolve disputes, and enforce our agreements. Retention periods vary depending on the category of data and our legal and operational needs. Generally, we retain personal information for the duration of your employment relationship plus an additional period as required for legal compliance (such as tax, labor, or employment law requirements) or as needed to resolve disputes. When we no longer need personal information, we will delete or de-identify it in accordance with our data retention practices and applicable law.
Security
We implement administrative, technical, and physical safeguards designed to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our App, you are responsible for keeping this password confidential. Unfortunately, the transmission of information via the internet and mobile platforms is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted through our App. Any transmission of personal information is at your own risk.
Children's Privacy
Because the App is designed for employment-related purposes and may be used by minor employees who are legally authorized to work under applicable federal and state labor laws, we permit users who are at least 14 years of age to use the App, provided they have received parental or guardian consent to employment. Users between 14 and 15 years of age must have a parent or legal guardian review this Privacy Policy and provide consent before using the App. Users who are 16 years of age or older but under 18 may use the App with parental notification. We do not knowingly collect personal information from children under 13 years of age.
Certain states provide additional privacy protections for minors. For example, if you are a California resident under 18 years of age, you may request removal of content or information you have publicly posted on the App by contacting us. Note that removal does not ensure complete erasure of the content from all systems.
Biometric Sign-In (Face ID)
If you enable Face ID on your iOS device, you may use Apple's device-level biometric authentication to unlock and access the App instead of entering a username and password. When you choose to use Face ID, the App relies on Apple's operating system to confirm that the enrolled user has been authenticated. The App does not receive or process your facial image, facial geometry, or any raw biometric data. Apple performs the biometric matching within the Secure Enclave on your device and provides the App only with a yes/no result indicating whether authentication was successful.
Your Rights and Choices
You may have certain rights regarding your personal information, including the right to access, correct, update, or delete your information, subject to legal exceptions. The exact scope of these rights may vary by jurisdiction. To exercise any of these rights, please contact us using the information in the Contact Us section. We will respond to verifiable requests within the timeframes required by applicable law (generally within 45 days, subject to extension where permitted).
California Privacy Notice
If you are a California resident, the California Consumer Privacy Act (as amended) provides you with specific rights, including the right to know categories and specific pieces of personal information collected, the sources of that information, the purposes for which it is used, and the categories of third parties with whom it is shared. You also have the right to request deletion, to correct inaccurate information, to opt out of the sale or sharing of personal information for cross-context behavioral advertising, and to not be discriminated against for exercising your rights. We do not sell personal information as defined by California law.
Other State Privacy Rights
Residents of Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws may have similar rights, including the right to access, correct, and delete personal information, to obtain a copy of personal information in a portable format, and to opt out of certain processing activities. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make changes, we will update the “Effective Date” at the top of the policy and take additional steps as required by law. Your continued use of the App after an update constitutes acceptance of the revised Privacy Policy.
